LEX Publication Terms
These terms apply when you submit work for publication in the Landscape Exchange (LEX), published by the Landscape Research Group (LRG).
By submitting your contribution, you confirm that you accept these terms.
1. Who can submit
Publishing through LEX is a benefit of LRG membership.
For individually authored contributions, the author must be a current LRG member. For collaborative contributions, the lead author or contributor must be a current LRG member. Co-authors, performers, collaborators and other contributors do not need to be members.
2. Editorial review
All LEX submissions are editorially reviewed by LRG. They do not undergo academic peer review.
We may accept a contribution, suggest changes or clarification, recommend a different format or decide it is not suitable for publication. Submission does not guarantee publication.
We may make minor editorial and presentational changes. We will consult you about substantive changes that could affect the meaning or intent of your work.
3. Your responsibility
You remain responsible for your contribution and, to the best of your knowledge, for ensuring that:
- factual information, names, quotations, references and links are accurate;
- your work does not unlawfully infringe another person’s or organisation’s rights;
- appropriate research, professional and ethical standards have been followed; and
- relevant permissions and consents have been obtained.
If you discover a significant error after publication, please let us know.
4. Copyright and permission to publish
You retain copyright in your original work.
By agreeing to publication, you give LRG a non-exclusive licence to publish, reproduce, display, archive and promote your contribution through LEX, the LRG website, newsletters, email, social media and other LRG communications promoting LEX or your contribution.
This includes reasonable editorial, technical and presentational adaptations, such as formatting text, resizing or cropping images where appropriate, creating excerpts or promotional copy and adapting material for different devices and platforms.
We will not materially alter the meaning or integrity of your work without consulting you.
Because the licence is non-exclusive, you remain free to use and publish your work elsewhere.
LRG may retain copies of accepted contributions and associated information for record-keeping, continuity and digital preservation. This may include using third-party services to store and safeguard material on LRG’s behalf.
Any separate deposit of your work into an external research repository, including one that provides independent public access or assigns a persistent identifier, will be discussed with you and will require appropriate permissions. Such deposits are not automatically authorised by submission to LEX.
5. Third-party material
If your contribution includes material created or owned by someone else — including photographs, illustrations, artworks, performances, maps, graphics, substantial quotations, audio or video — you are responsible for obtaining any necessary permission or licence.
Provide accurate credits and attribution information. We may ask for evidence of permission where necessary.
6. People, communities and consent
If people are identifiable in your contribution, you are responsible for obtaining appropriate consent for publication, including where children or vulnerable individuals are involved.
Take particular care with communities, Indigenous or traditional knowledge, culturally sensitive material, sensitive locations and other potentially vulnerable subjects.
Where your contribution includes performers, artists, collaborators or other creative participants, ensure they are appropriately credited and that any permissions needed to publish or document their contribution have been obtained. This includes, where relevant, photographs, recordings or footage of performances or collaborative work.
Tell us if anything requires particular sensitivity in how it is edited, presented or promoted.
7. Previous publication
LEX is primarily interested in original contributions developed for its audiences.
We may consider previously published material where you have the right to republish or adapt it and it has been appropriately developed for LEX.
Tell us when submitting if your contribution, or a substantially similar version, has appeared elsewhere.
8. Declarations of interest
Tell us about funding, financial or commercial interests, professional roles or other relationships connected with the contribution that audiences could reasonably consider relevant.
Having such an interest does not necessarily prevent publication.
9. Generative AI
You remain responsible for the accuracy, originality, integrity and permissions associated with everything you submit, including material produced with generative AI.
Disclose substantive use of generative AI to create or significantly transform text, images, audio, video or other material.
Routine spelling, grammar, transcription or similar assistive use does not normally need to be declared. AI tools cannot be credited as authors.
LRG may ask for further information where relevant to publication, accuracy, copyright or transparency.
10. Languages and translation
LEX welcomes contributions in any language and aims, where possible, to publish accepted work both in its original language and in English.
Where possible, contributors should provide, arrange or approve the English translation and ensure it represents the meaning and intent of the original.
Where LRG assists with translation, you will have the opportunity to review and approve the English version.
We will consider what assistance may be possible where translation would otherwise create a barrier to publication.
11. Media and accessibility
You are responsible for ensuring that images, audio, video and other media can legally be published and that appropriate credits and permissions are supplied.
Please follow our Images, media & accessibility → guidance.
LRG may make reasonable technical adaptations for publication where appropriate and without compromising the integrity of the work.
We may create or edit alternative text, captions, transcripts, headings or other accessibility information, and may ask you for information to help us present your work accurately and accessibly.
12. Republishing your work
You retain copyright and may publish your contribution elsewhere, subject to any other agreements you have made.
Where possible, please acknowledge that the contribution first appeared, or previously appeared, in LEX and link to the LEX version.
13. Corrections, updates and withdrawal
Contact LRG if you would like to correct, update or remove a published contribution.
We will consider reasonable requests, although removal from the live website cannot necessarily remove copies already distributed or reproduced through newsletters, social media, archives, search engines, web caches or third-party services.
LRG may also correct, update or remove material where there is a significant issue concerning accuracy, rights, permissions, ethics, legal obligations or these terms.
Where material has been deposited in an independent research repository with your agreement, corrections, access restrictions and withdrawal requests will also be subject to that repository’s policies.
14. Your personal information
LRG will use the personal information you provide to administer, review, edit and publish your contribution and communicate with you about it.
Author/contributor information you agree to make public may appear alongside published work.
See the LRG Privacy Policy → for further information.
15. Changes to these terms
LRG may update these Terms from time to time. The terms applying to your submission will be those presented when you submit it.
When you submit
By submitting to LEX, you confirm that:
- you have read and accept these Terms;
- the information supplied is accurate to the best of your knowledge;
- you have the necessary rights, permissions and consents;
- you have disclosed relevant interests and previous publication;
- you have disclosed substantive generative-AI use where applicable; and
- you give LRG the non-exclusive permission to publish and promote your contribution described above.
